Administrative Assistant - VITAL

FUNCTION OF THE JOB:

Perform responsible office and administrative duties for the Adult Education and VITAL programs.

DUTIES AND RESPONSIBILITIES

  1. Assist current and prospective participants, students, and tutors with relevant needs or questions through emails, phone calls, and mailings.
  2. Manage online registration of prospective students and tutors.
  3. Perform administrative duties for Project VITAL and Adult Education programs, including but not limited to, preparing correspondence and other necessary forms, answering the phone, providing general information and assistance upon request, and opening/distributing mail. Maintain organized files and individual files for all correspondence, instructional materials, tutors, students, and work study students by completing intake forms, typing, copying, and keeping careful records of reporting forms and updating budget balances.
  4. Perform record keeping activities involving budgets, SOS Grant, hours for tutors, time sheets for work study members, purchase orders, deposits, etc.
  5. Assist the Adult Literacy Outreach Coordinator with the Work Study Outreach Program.
  6. Inventory supplies, books, instructional materials, and equipment used by tutors, students, and staff.
  7. Collect, log, and periodically submit monies for various purposes.
  8. Manage files and records necessary to complete and submit reports in accordance with governmental grant requirements.
  9. Assist the Adult Education Coordinator and the Adult Literacy Coordinator in writing and submitting the Secretary of State Voluntary Literacy Grant.
  10. Assist in developing, planning, and coordinating promotional events for Adult Education and VITAL programs.
  11. Assume all other reasonable professional duties and responsibilities as assigned by the supervisor.

ESSENTIAL FUNCTIONS:

  1. Must understand and support the mission of the community college
  2. Must have strong skills in customer services and possess good verbal and written skills.
  3. Must be able to operate office equipment proficiently.
  4. Must be able to work with Microsoft Office products.
  5. Must be able to work effectively in a team environment.
  6. Must be able to interpret rules, regulations, policies, and procedures.

PERSONAL INTERACTION:

Frequent contact is made with all levels of College personnel, students, and outside organizations in providing appropriate assistance and information as requested.

SUPERVISION EXERCISED:

No supervision is required.

REQUIREMENTS:

High school diploma or GED with two years of responsible office experience required; associate’s degree is preferred. Proficiency in computer word processing and basic bookkeeping required. Bi-lingual is preferred.

TORT LIABILITY STATEMENT:

Coordinates the College Risk Management Program in a capacity appropriate to this position. This includes, but is not limited to, monitoring conditions, events and circumstances present through daily College operations, and communicating observations to the appropriate supervisor or taking necessary actions to correct, prevent or limit safety problems. May serve as a member of a committee that supports the health, safety and/or legal rights of visitors, students and staff.
