FUNCTION OF THE JOB:

Highly responsible assistant who performs administrative duties with high confidentiality. Perform general office activity for the Foundation, Impact, and Marketing offices.

DUTIES AND RESPONSIBILITIES

  1. Organize and conduct all facets of office management which may include receiving and screening telephone calls, schedule meetings, make reservations, purchase orders, and travel arrangements.
  2. Prepare correspondence, press releases, and promotional materials.
  3. Assist with public speaking on behalf of the Impact Program and Foundation.
  4. Assist with creating and maintaining college social media accounts and marketing materials.
  5. Assist with the recruitment of Impact students, parents, and volunteer partners.
  6. Create awareness of the scholarship program with potential donors, prospective recipients and the broader community.
  7. Support donor management and stewardship activities to improve Foundation donor experiences.
  8. Prepare a variety of documents, reports, and written materials (e.g. individual awards, invitations, event programs, newsletters, etc.) for the purpose of communicating information to donors and students.
  9. Make recommendations and assist in the purchase of supplies and equipment, including submitting purchase requisitions and travel requests for the Advancement team.
  10. Assist with Foundation bookkeeping including, but not limited to, validating Foundation transactions, deposits, and journal vouchers. Assist with Foundation budget and audit preparation as needed.
  11. Handle and maintain confidential information regarding personnel, donors, financial records and budget.
  12. Assist in prospect research for fundraising campaigns.
  13. Responsible for maintaining current promotional materials on campus and in the community.
  14. Assist in the administration of alumni programs and events.
  15. Organize, plan, assist, and coordinate preparations for various fundraising and community activities and events.
  16. Assume all reasonable professional duties and responsibilities as assigned by the supervisor.

ESSENTIAL FUNCTIONS:

  1. Must understand and support the mission of the community college.
  2. Must have strong communication (written and oral) and interpersonal skills.
  3. Must be able to communicate effectively by phone and email on a daily basis.
  4. Must be able to provide and understand verbal/visual information from supervisors and to local community area personnel and the general public.
  5. Must be able to work with Microsoft Office and Google products.
  6. Must be technologically competent and able to learn new software applications.
  7. Must be able to operate office equipment proficiently.
  8. Must have bookkeeping and budgeting skills.
  9. Must be able to work evenings and weekends as required.

PERSONAL INTERACTION:

Frequent interaction and personal contact with all levels of College personnel, community leaders, business executives, facilitators, the general public, students, and outside organizations (usually the first line of communication).

SUPERVISION EXERCISED:

Functional supervision is exercised over designated College work-study personnel.

REQUIREMENTS:

Associate’s degree with two years of responsible office experience or equivalent education and experience required. Demonstrated success in advanced computer and interpersonal communication skills, ability to maintain a high level of confidentiality and attention to accuracy required. Must demonstrate excellent writing skills.

This includes, but is not limited to, monitoring conditions, events and circumstances present through daily College operations, and communicating observations to the appropriate supervisor or taking necessary actions to correct, prevent or limit safety problems.
