TITLE:

Coordinator of Advising/Counseling

SUPERVISED BY:

FUNCTION OF THE JOB:

The Coordinator of Advising/Counseling reports directly to the Dean of Student Services. The coordinator supervises the overall operations of the Counseling/Advising department at Sauk Valley Community College.

DUTIES AND RESPONSIBILITIES

  1. Assist Dean of Student Services with scheduling of advising staff and administering the advising budget.
  2. Implement and coordinate weekly advising meetings.
  3. Schedule required trainings for advising/student services staff (e.g. Title IX, Sauk policies, catalog updates, etc.)
  4. Coordinate professional conference attendance and university articulation meetings.
  5. Coordinate State University Transfer Day and Private Illinois College and University Day on-campus.
  6. Supervise and coordinate advising office activities; assist with monitoring and requesting supplies.
  7. Serve on the curriculum committee.
  8. Coordinate with ITS concerning reporting needs for the Advising/Counseling department.
  9. Assist with compliance reporting including CPOS, FYE, and ELA.
  10. Update the advising website and other marketing materials for the department.
  11. Provide training and guidance for new advising staff.
  12. Assist with student retention initiatives.
  13. Assist with transfer and placement implementation, resources, and guidelines.
  14. Serve as a department liaison to administration, faculty, and staff at Sauk Valley Community College.
  15. Prepare and submit reports (monthly and annual) to the Dean of Student Services.
  16. Work with academics concerning scheduling and enrollment issues.
  17. Complete operational planning and reporting requirement for the department.
  18. Assume all other reasonable professional duties and responsibilities as assigned by the supervisor.

ESSENTIAL FUNCTIONS:

  1. Must understand and support the mission of the community college.
  2. Must be able to provide verbal/visual presentations to department personnel, institution, and Board of Trustees.
  3. Must be able to work effectively in a team environment.
  4. Must be able to communicate effectively by phone and e-mail on a daily basis.
  5. Must be able to work with Microsoft Office products.

PERSONAL INTERACTION:

Frequent contact is made with all levels of College personnel, students, and outside organizations in relation to routine departmental services and duties in providing appropriate assistance and information as requested.

REQUIREMENTS:

Master’s degree in counseling or related field required. Three years of responsible counseling experience at a community college will be given preference. Knowledge of computer based systems (Banner preferred) and good oral and written communication skills required. Must demonstrate an understanding and commitment to the community college philosophy.

This includes, but is not limited to, monitoring conditions, events and circumstances present through daily College operations, and communicating observations to the appropriate supervisor or taking necessary actions to correct, prevent or limit safety problems.
